A Straightforward Guide to Refunds and Cancellations

10 March 2026 4 min readBy EventXplora Team

What organizers are responsible for, what the platform handles, and how to write a refund policy attendees will actually read.

Refund policy confusion is one of the most avoidable sources of support tickets — both for organizers and for the platform. Most of it comes down to one thing: the policy wasn't clearly stated before the attendee bought a ticket.

As the organizer, you decide whether tickets are refundable, partially refundable, or non-refundable, and under what conditions — that decision is yours, not the platform's. What EventXplora handles is the technical side: processing the refund through the original payment method once you approve it, and keeping non-refundable platform and gateway charges separate from the ticket amount itself.

The organizers with the fewest refund disputes are the ones who state their policy in plain language directly on the event page, not buried in a linked terms document. 'Fully refundable up to 48 hours before the event, non-refundable after' is a sentence attendees actually read and remember.

If you do need to cancel or postpone an event, communicate early and be specific about what attendees can expect — a transfer to a new date, a refund, or a credit — rather than leaving them to guess while they wait for an update.
